Some companies choose to have senior colleagues travel separately. If that rule applies to a WEF visit, it needs to be reflected in the Zurich–Davos bookings from the beginning rather than improvised when the passengers reach the car.
Obtain the policy owner’s instruction
Ask the company’s responsible travel contact what separation means for this particular trip. It might concern sharing a vehicle, departure timing or an entire itinerary. Do not assume that two cars leaving together satisfy a rule about travelling independently. The transport service can organise an agreed practical arrangement, but the company must define and approve its own policy. Share only the operational requirement needed to prepare the journeys.
Build two complete passenger journeys
Give each vehicle its own passenger list, luggage count, Zurich starting address and Davos destination. Include a reachable contact for each traveller even when one assistant coordinates everything. If the passengers leave from different offices or hotels, keep those origins explicit. A shared meeting in Davos does not require identical pickup times. Ask for the two journeys to be quoted and confirmed as distinct services with their own agreed details. Use distinct journey references in internal messages so an adjustment requested for one executive is not accidentally applied to both cars or interpreted as a change to the whole delegation.
Avoid treating independence as a convoy
Let each journey operate under the applicable traffic instructions instead of asking drivers to maintain visual contact or stay together through traffic. The cantonal WEF information is the source for official event-related road guidance. Decide where the colleagues will reunite after arriving lawfully, using a host or hotel contact if necessary. Neither independent vehicles nor an executive title provide accreditation, official partnership or a guarantee of entry into controlled areas.
Keep the return decision explicit
The return may require the same separation even if everyone finishes at one venue. Recheck the policy before combining travellers for convenience. Direct Zurich city or Zurich Airport–Davos fares apply per vehicle, one way: Economy CHF 420, Business Van CHF 550, E-Class CHF 550 and S-Class CHF 780. Two vehicles therefore require two priced services. Obtain written confirmations and review any later passenger changes against the original company instruction before requesting amended arrangements.
Questions about this journey
Will two cars automatically satisfy our corporate policy?
The company must confirm what its policy requires; vehicle separation alone may not be the whole requirement.
Can both journeys share one organiser?
Yes, while retaining complete passenger details and a reachable traveller contact for each vehicle.
Can everyone share the return if plans change?
Check with the policy owner first and request a revised booking if permitted.
