A company hosting a guest during WEF week may offer the Zurich–Davos car as part of its hospitality. A clear offer helps the guest choose their travel arrangements without assuming that every movement throughout the visit is included.
Describe the offered journey in plain language
Tell the guest whether the offer covers an airport arrival, a Zurich city departure, a return journey or some combination. State the intended destination and any decision deadline. Avoid a broad phrase such as all transport provided if the company is buying only a direct transfer. A separate event invitation should explain the hospitality itself. The car arrangement cannot confer official WEF participation, accreditation or access to controlled premises. Make the offer easy to decline or adjust before booking, especially when the guest already has employer-organised transport and could otherwise end up with two cars reserved for one journey.
Let the guest confirm practical needs
Ask for the actual travel details after they have reviewed the offer, including the full party size and luggage. A guest may travel with a companion who is not attending the meeting, or have an onward Zurich appointment after leaving Davos. Resolve whether that changes the hosted arrangement before sending a request. Personal additions should receive an explicit decision rather than appearing unexpectedly in the driver’s instructions on the travel day.
Give the sponsor a bounded proposal
Set out the selected vehicle, each included leg and the contact authorised to approve a change. Direct Zurich city or Zurich Airport–Davos prices are per vehicle, one way: Economy CHF 420, Business Van CHF 550, E-Class CHF 550 and S-Class CHF 780. Extra stops, other destinations and special operating requirements need a quotation. If ongoing hourly availability is wanted, it carries an eight-hour minimum and must be requested separately.
Send the guest the confirmed service
After the host approves and written transport confirmation arrives, share the practical collection instructions and the contact for travel-day questions. Keep the guest informed if an amendment remains pending. Check current official WEF travel guidance when the visit falls within event-related activity and ask the receiving venue about its arrival process. The host should retain responsibility for the invitation and guest reception while the independent transport provider handles only the confirmed road service.
